duvall Conferencing Systems

Conferencing systems facilitate real discussion and interaction. By providing a discussion unit per participant (or per 2 participants), we ensure that all participants are given every opportunity to participate in the meeting.
Discussion systems add structure and clarity to meetings.
By limiting the number of microphones that may be engaged at the same time, duvall prevents participants from talking at the same time. At the same time, the meeting's chairman is able to intervene in the proceedings, via their chairman's unit or touch screen, by giving participants the floor. The units can also be programmed with a maximum speaking time per participant.
The discussion microphones allow for a headset to be connected allowing participants to even better follow the meeting or to listen to the interpreters.
For people with a hearing disability, duvall offers induction loops that can be connected to the microphones, allowing them to follow the meeting via their hearing aid.
duvall provides discussion microphones that enable participants to cast their vote. The outcome of the vote can then be immediately projected on a screen.
The microphones can be linked to a database of participants. duvall can make labelled recordings, identifying the speakers at any given time.
duvall's dome cameras automatically capture the speaker. The image can be supplemented with information from the participants' database, for example the speaker's name.
This video feed can then be used for projection, video recording, video conferences or internet streaming.

Confidea Wireless Conferencing System

duvall's Televic Confidea wireless conferencing units are suited to all conditions and are very flexible. As they do not have cables, they are well-suited to large meetings or meetings being held at more demanding locations, such as lunch meetings at a formal table.
These units have a contemporary design and provide a warm, crystal-clear sound without any white noise. Their elegant swan neck microphones are completely free from interference, even from mobile phones.
Their unique multi-band Wi-Fi technology (2,4 GHz and 5+ GHz) makes them absolutely reliable: they broadcast on up to 27 different channels, automatically select a free channel and will automatically switch channels in case of interference. The Confidea wireless system adjusts to the circumstances, without disrupting existing systems.
The units boast 5 voting buttons and are able to disseminate up to 40 translation channels.
The meeting president's unit has a priority button, and a button allowing for the next speaker to take the floor.
The replaceable Li-ion batteries have an autonomy of more than 20 hours, are easily replaced and charge very quickly.
The Confidea wireless conferencing system means that the reliable wireless age has finally dawned for meeting technology as well.

Simultaneous translation: what is it and why is it used?
Simultaneous translation is often used during meetings as a result of compelling circumstances. Nonetheless, meeting organisers have plenty of reasons to opt for simultaneous translation even if participants are able to get by in a common language.

Simultaneous translation empowers participants and improves the quality of their interaction.
Simultaneous translation allows each participant to speak their own language and also to listen to what is said in their own language. Everyone is able to clearly formulate their position, adding the right level of nuance. This makes the meeting more efficient and prevents people from being misunderstood without them or the other participants being aware of this.
At the same time, if simultaneous translation is provided for them, participants implicitly get the message that their presence and their voice is appreciated.
The fact that simultaneous translation imposes a certain level of discipline and structure on the meeting is also a nice bonus.
After all, speakers are required to use a microphone to allow the interpreters to hear and translate what is being said.
Participants cannot interrupt each other, as interpreters are only able to translate one speaker at a time.
Unlike other interpretation modes, such as whispered translation or consecutive interpretation, simultaneous translation does not disrupt the meeting's dynamics.
The translation is provided while a participant is speaking, without interruptions, pauses or annoying whispering in the background.

Simultaneous translation: how does it work?
Simultaneous translation requires a great effort and interpreters have to be able to focus to do their job. This is why they always work in teams of at least 2 interpreters per language (combination). They help each other and take turns, as it is impossible for interpreters to listen, translate and speak at the same time for longer periods of time, without a significant loss of quality.
Interpreters do not just translate word for word. They translate what a speaker wants to express. In order to correctly interpret the specific meaning of the message, interpreters need to have the same level of information that is available to the other participants. They therefore not only have to clearly hear what is said, they also need to be able to see the speaker, meeting room and presentations. All of this information has to be available in their booths.
In other words, the interpreters' job strongly depends on their equipment.
For simultaneous interpretation, duvall combines the expertise of our people (interpreters) and the right technology.

How does simultaneous translation work?
Interpreters share a booth per language (combination). They are able to see the meeting, speakers and presentations and get the sound via their headsets.  They interpret into a microphone, after which duvall disseminates the translation among the participants. The sound can be disseminated wirelessly (using radio frequencies, infrared or Wi-Fi) or with cables (via conferencing devices).
Each participant is able to select the language they want and adjust the volume of their headsets.
duvall cleans and wraps the headsets every time they are used
If the customer so desires, we can provide in-ear speakers, a single ear shell, neckband telephones and other alternatives to the ordinary headphones.
For the hearing impaired, we provide individual induction loops, allowing them to listen to the translation via their hearing aid.
duvall strictly complies with the ISO norms applicable to simultaneous translation. These norms govern both our technical equipment (e.g. the booths) and our service (e.g. presence of a qualified technician).

REMOTE CONFERENCE INTERPRETING (RCI)

Multilingual meetings in Europe usually require the interpreters having to be flown in.
This not only takes a big bite out of your budget (hotel en transport cost), but is also taxing on the environment.
That is why duvall developed Remote Conference Interpreting (RCI).
Thanks to RCI, duvall is able to provide on-site simultaneous interpretation, without loss of speed or quality.

In fact, RCI only offers advantages:

  • The organisers of multilingual meetings cut down on the interpreters' travel and hotel costs and can opt for smaller meeting rooms, which are cheaper and more pleasant.
  • For interpreters, RCI allows them to work with their familiar equipment in their familiar environment and that they are able to go home after work.
  • And, lastly, the fact that no interpreters or booths need to be transported is also good news for the environment.

In short, duvall's RCI allows you to reduce the ecological footprint and cut costs in a user-friendly way.

duvall RCI TECHNOLOGY

When developing a solution for remote simultaneous interpretation, duvall applied very strict standards and all developments were the result of close cooperation with professional conference interpreters:

  • The translation is simultaneous, i.e. there is no noticeable delay.
  • Working as an interpreter requires working as a team: the interpreters work together from a single location. This makes the interpretation process more manageable, allowing for a better follow-up of the quality and continuity of the connections.
  • Interpreters are able to work with their familiar equipment in their familiar environment and are able to go home after work.
  • Interpreters get a clear and high-quality real-time video feed of the speaker (with lip-synch).
  • They also get a general view of the meeting room and are able to follow the presentations on a screen.
  • Data is sent across a secure connection, which is dedicated, fast and high-quality.

The technical process is as follows: duvall sends the video and audio feed over IP from the meeting room to the interpreters' location and then sends the translation back to the meeting. The whole process involves minimal delays so both participants and interpreters hardly realise they are not physically present in the same location.

videoconferencing

Thanks to duvall videoconferencing, you can organise a meeting between people from two or more locations and still get the impression that you are sitting around the table with them. The high-quality video and audio feeds are exchanged between the locations without delay, allowing you to see the other person's facial expressions, body language and gestures. This not only helps you to understand each other better, it also gives the feeling of being truly in touch with one another.
duvall videoconferencing helps you to do business in every way:

  • it saves travel time and costs,
  • it improves internal communication,
  • it speeds up the decision-making process,
  • it is good for the environment.

duvall videoconferencing is able to operate between two locations (point to point) or between multiple locations at the same time (multipoint).
duvall can organise a videoconference at your offices.
In addition, duvall has its own videoconferencing infrastructure available in Merelbeke.

videoconferencing TECHNOLOGY

duvall uses LifeSize videoconferencing systems.
The LifeSize codec ensures a high-quality exchange of the video and audio feed, without any noticeable delay, ensuring a smooth, lip-synched picture. Depending on the system present at the other location(s) and the bandwidth available, the resolution can even be set to full HD.
The major advantage of the LifeSize system is its flexibility:

  • It is compatible with (most/all) other videoconferencing systems
  • It can be connected to your existing sound and video equipment and can therefore be used for any meeting.
  • It allows for PowerPoint presentations or other PC content to be integrated into the video conference
  • The presentation and the speakers can be shown simultaneously and according to the users' requirements, e.g. on 2 separate screens, on a single split screen or via a picture-in-picture display...

VIDEOCONFERENCING ROOM IN MERELBEKE

At last it is now possible to truly meet with foreign clients or partners without wasting time travelling, which is also bad for the environment and without having to invest in expensive equipment.

From their headquarters in Merelbeke, conferencing and meeting technology specialists duvall now also offer videoconferencing.
This makes organising videoconferences possible for organisations with only a sporadic need for tele-meetings.
Thanks to the Videoconferencing technology, people who are located at completely different sites are now able to meet with each other as though they are sitting around the same table.

The video and audio feeds that are exchanged between the remote locations are of such a high quality, at duvall, that a virtual meeting presents all of the benefits of a live meeting.
Participants are able to see each other's facial expressions, body language and gestures.
The way they follow each other's presentations is no different from an ordinary face-to-face meeting.
Videoconferencing allows people to better understand each other and they get the feeling that they are truly in touch with one another.
Also companies looking to organise a videoconference from their own offices can enlist the services of duvall.

duvall"s videoconferencing room allows for some 10 participants to take part in the meeting.
It has been equipped with a LifeSize videoconferencing system.
The LifeSize codec ensures a high-quality exchange of the video and audio feed, without any noticeable delay, ensuring a smooth, lip-synched picture.

The major advantage of the LifeSize system is its flexibility:

  • it is compatible with other videoconferencing systems
  • it allows for PowerPoints or other PC content to be integrated into the videoconference as well.

duvall"s videoconferencing room is located in the building at the Ambachtsweg in Merelbeke, near the R4 ring road around Ghent and exit 16 of the E40 motorway Brussels - Ostend.
The building is easy to reach and there is ample free parking available.

INTERACTIVE VOTING
duvall voting makes your event more attractive, by actively involving participants in your presentations.
duvall voting offers you a wide range of options:

Making decisions
The voting system can be used for votes with a simple majority and in situations when a weighted majority is required (such as a shareholders' meeting). Voting systems can also help to build consensus through focused questions.
Identify your audience
Learn more about who is in the room (occupation, gender, region, department, training level.) and about their preferences and opinions. Or test their level of expertise.
Dynamism
When used during a presentation, voting allows you to adjust your presentation on-the-fly, using the feedback you get from your audience. Did everyone understand everything? Is it possible to decide on the next step? This is also ideal for keeping people awake after a heavy lunch.
Consensus
Gauge whether your gut feeling meets with the audience's approval, so you'll know whether they will back your decision. By cross-referencing the results with the voters' previously recorded characteristics, you can get a clear insight in the consensus per subgroup.
Brainstorming
During a presentation, a question may rise that you want the entire audience to give their opinion about. You can enter this question into the system and the audience is then able to vote on this question.
Employee satisfaction survey
Give your employees the opportunity to anonymously give their opinion about subjects you would like to get more information about.
Determine rankings
Provide a number of alternatives and allow the audience to rank them according to their preference.
Knowledge testing
Show your audience the correct answer to the question you asked. This allows you to immediately explain the question and the corresponding answers.
Has your message been received?
During or after the presentation you can ask a question about the contents of your presentation. This way, you will know whether your presentation was clear to your audience. Doing this during your presentation allows you to adjust your presentation on time!
Gaming
Throw in a quiz as a welcome break: it cheers everyone up and helps them to focus again. The computer can track response times or assign penalties for incorrect answers. A cleverly-designed quiz can also provide you with interesting information.
Anonymous or not
You can link the voting system to a database of participants, allowing you to record the results of individual participants. You can divide participants into groups and you can review results per group.
Evaluating
What did you think? On a scale of 1 to 5, for example. Maybe you can see opinions evolving as the meeting progresses?
Internet voting
Using their smartphone or tablet, participants can vote in real-time, from another location.
Multiple voting
1 voting keypad can record multiple votes about the same question.
The outcomes of various votes can be merged.
1 voting session can be held simultaneously across different sites.

INTERACTIVE VOTING : TECHNOLOGY & REQUIREMENTS

duvall's interactive voting system is wireless and digital, flexible, yet simple:

  • The voting keypads are simple and user-friendly.
  • The software is flexible and allows for importing audio, video and other files
  • The results are projected immediately, if necessary, during the voting.
  • It allows to immediately cross-referencethe results.

Voting can be done anonymously or with identification (via an ID card).
Detailed results are available in digital format (JPEG, Word, Excel...)

duvall provides :

  • voting Station +  voting keypads + (possibly) ID cards
  • laptop with IVS Pro software + licence key
  • creation and programming of the voting script.

You will receive a comprehensive briefing about

  • how best to present your questions
  • how to instruct the audience in the use of the voting keypads
  • how to present the results

A duvall technician operates a dedicated voting computer, which is different from the computer running the PowerPoint presentations. In other words, a switcher will be needed to switch between the PowerPoint and the voting.

We need in advance:

  • The questions and answers (+ indication of the correct answer, if applicable)
  • Visuals, e.g. a PowerPoint slide model, to give the voting presentation the same look-and-feel as the other presentations
  • A list of participants (to program the keypads for identified voting)
  • A script of the event

We would like to have everything (questions, visuals, participants, script) at last one week before the event.
Last-minute changes, such as adding or adjusting questions are always possible (even during the event).

Do not hesitate to contact us for more information or adv

duvall AUDIPACK SILENT interpretation booths

Interpretation booths allow the interpreters to properly follow the meeting, providing them with all of the information they need to deliver a spotless simultaneous interpretation. Via their headphones, the interpreters listen to the speaker(s) and because they are working in the meeting room, they can fully comprehend what is going on: they can see the speaker, the participants, the projection screen and everything that goes on in the meeting room. At the same time, booths allow interpreters to do their job, without disrupting the meeting.
As the interpretation booths are portable, we can provide simultaneous interpretation in most rooms.

Booths are designed according to very strict ISO standards, safeguarding the quality of the simultaneous translation and the comfort of both the interpreters and participants.
These standards determine both the of the booths and windows, the sound-absorption levels of the walls, the output of the ventilation system.
The Audipack Silent booths provided by duvall fully meet these standards.

The familiar AUDIPACK Silent interpretation booths even provide more comfort and sound insulation than is required under the strict ISO norms (ISO 4043:1998).
Standard booths fit 2 interpreters. Interpreters take turns to work and relieve each other about every 20 minutes.
The AUDIPACK booths can be expanded without problems, as some organisers or conferences require booths for 3 or 4 interpreters.
Sometimes the booths have to be located on-stage, to allow the interpreters to properly see the room and participants.
In principle, 1 booth per language is required, but often you can provide interpretation into all languages with 1 less booth than the total number of languages.
The booths are equipped with professional digital interpretation equipment and headphones.
Paper, a pen and water is provided for each interpreter.
